5 components of successful program management

Delivering a program of works requires more than simply repeating the same methodology used for one project across multiple sites. It takes a unique skillset and many years of experience to perfect, as well as a strong understanding of the impact that infrastructure has on business operations.

If done well, program management can provide clients with the ability to rapidly increase the scale of its operations and reduce the timeframe required to complete each individual project. It also offers cost efficiencies and ensures there are consistent standards across each site.

For example, we are currently working with Westside Petroleum to deliver a large-scale program of works across Australia. The organisation has been able to grow their business exponentially as a result of our program management demonstrated by Linéaire Projects managing the design and delivery of more than 50 service station sites nationally.

The complexity and scope of programs like these require a trusted team of experts who understand how to deliver multiple projects at the same time. No matter how small or large your program of works may be, there are five components that we believe are essential to successful program management.

Good Governance

To ensure standards of excellence are maintained throughout the program, it is essential to have the right governance in place. Roles and responsibilities for everyone on the project team need to be defined, from the program leader and change manager down to individual contractors at each site. Linéaire Projects develops a centre of excellence for each project, to ensure everyone on your project team has the skills and experience to work in a multi-project environment. Governance processes are then developed to ensure the program objectives are achieved

Detailed Planning

Program management requires an extensive planning phase, which sets up the subsequent implementation and delivery phases for success. This involves distilling a significant number of complex tasks and activities into manageable components, to ensure the program is delivered in a streamlined and efficient manner. Prior to starting a program of works, our team take the time to achieve a strong and detailed understanding of the work to be delivered and the environment in which it must be delivered. We conduct this planning in collaboration with clients, specialist consultants and other stakeholders.

Stakeholder Management

Large-scale programs generally have an extensive number of stakeholders involved, from design teams and contractors to tenants and government authorities. Each stakeholder group needs to be managed effectively to ensure a successful outcome. This requires strong communication processes and an agile methodology, to ensure there is no miscommunication or delays to works. We have decades of experience in managing stakeholders, using a client-centred approach that allows us to focus on the needs of our clients at every phase of the program.

Forecasting and Analysis

Preparing for potential risks and issues ahead of time is critical to successful program management. There should be strategies developed to deal with any issues that may occur, as well as continuous forecasting in place to help teams understand how changes to the program today will impact outcomes down the track. Our team develops strong risk management processes for every program, tailored to the risks inherent to the particular industry, location and organisation. We also continuously share knowledge between teams to ensure key learnings are applied to other sites in the program.

Time and Cost Management

The two most common problems with large-scale programs are cost blowouts and delays to the schedule. Managing these requires strong cost management and forecasting skills, with the ability to manage costs and schedules for individual sites as well as the program as a whole. Communicating any unexpected changes to the budget or schedule and ensuring they are resolved quickly is also important, to avoid one small change impacting the entire program of works. An experienced program management team will implement a methodology that drives efficiency, while ensuring the program aligns to your objectives.
